About Imagination Escapes
Imagination Escapes is a Kerala-based travel and holiday membership business. Customers join as members to unlock discounted travel packages, and each new member needs to be verified, charged, and onboarded before they can start using their benefits.
Challenge: Manually verifying payments and issuing membership IDs couldn't keep pace with sign-up volume, and left members waiting for confirmation.
The Business Challenge: A Manual, Delay-Prone Sign-up Process
Before automation, every new membership went through a slow, manual chain of steps:
- Manual Payment Tracking: Staff had to check Razorpay's dashboard manually to confirm whether a member's payment had actually gone through
- Delayed Member ID Issuance: Member IDs were assigned by hand, risking duplicates and inconsistent formatting
- Autopay Confusion: Razorpay Subscriptions triggered autopay mandate screens that confused customers and caused drop-offs at checkout
- No Instant Confirmation: New members had no immediate confirmation that their membership was active, leading to repeated "is my payment done?" queries
- Fragmented Tools: The signup form (Contact Form 7), payments (Razorpay), and messaging (WhatsApp) were disconnected, with no automated handoff between them
The core problem: Growing sign-up demand colliding with a manual, multi-tool process. Imagination Escapes needed sign-up, payment, ID generation, and confirmation to happen as one seamless automated flow.
The Solution: A Fully Automated Membership Pipeline
We built a custom WordPress plugin and automation pipeline that connects the sign-up form, Razorpay payments, member ID generation, and WhatsApp confirmation into a single automated flow — with no manual steps in between.
Custom WordPress Plugin for Membership Payments
We built a dedicated plugin (razorpay-membership-core.php) to handle the entire membership payment lifecycle directly inside WordPress, rather than relying on a generic payment add-on that didn't fit the membership workflow.
Switched from Razorpay Subscriptions to Orders
The original setup used Razorpay Subscriptions, which forced customers through an autopay mandate screen — an unfamiliar, trust-eroding step for a one-time membership payment. We rebuilt the payment flow on Razorpay Orders instead, giving customers a clean, single-payment checkout with no recurring mandate confusion.
Contact Form 7 Integration for Sign-ups
New members sign up through a Contact Form 7 form on the site. Submissions feed directly into the membership plugin, which validates the entry and initiates the Razorpay payment step — no manual copying of details between systems.
Automated Member ID Generation
On successful payment, the system automatically generates a unique member ID in the format IE26-XXX-NNNN, assigns the correct WordPress role to the new member account, and stores the record — removing any chance of duplicate or inconsistent IDs.
WhatsApp Confirmation via Pabbly Connect + AiSensy
Once a membership is confirmed, a Pabbly Connect webhook fires and triggers an AiSensy WhatsApp Business API message, sending the new member their membership ID and confirmation instantly — no staff involvement required.
Template & Delivery Troubleshooting
We worked through WhatsApp Business API delivery issues along the way — correcting Utility vs. Marketing template categorization, fixing API key formatting, validating phone number formats, and migrating the WhatsApp sending number from AiSensy's test number to the live Indian business number — so confirmations land reliably every time.
